Archiving HQ-accounts

User Rabia has sent us the following question:

I have just identified several HQ accounts on the server that need to be deactivated (the users are no longer working with us on this task). I only see the option for “remove from workspaces”, whereas the right approach would be to archive them.

This is correct. The documentation is clear on this point. Only interviewer and supervisor accounts can be archived, see: Deleting accounts.

For the HQ accounts that need to be deactivated (disabled / deleted / archived), you can do either (or, better, both) of the following:

  1. As an administrator of the server, change the password of that account to a new password and not tell the new password to the person having that HQ account. The person will not be able to log in to the server.
  2. As an administrator of the server, change access to workspaces of that account removing them from all workspaces.

In the latter case, if the user attempts to log in they will be getting a message like this:

or possibly the following (if the admin made the action while the affected user was logged in):

The same recommendation applies to the other accounts that can’t be archived (Observer, API).

Disabling an administrator account can’t be done from the web interface and requires the use of the support tool.
